Privacy Policy

This Privacy Policy describes how Qalaris ("we", "us", "our") collects, uses, and shares information when you use the Qalaris platform and the Qalaris Anesthesia product (the "Service"). We aim to be plain-spoken about this - if anything here is unclear, email us at support@qalaris.com.

1. Information we collect

Account information. When you create an account, we collect your name, email address, and password (stored in hashed form). You may optionally provide additional profile details such as country, training stage, or exam focus.

Usage and activity data. To operate the Service and help you learn, we collect information about how you use it - questions attempted, answers, timing, session history, performance metrics, flagged questions, and similar activity data.

Device and technical data. We automatically collect limited technical information such as IP address, browser type, device type, operating system, referring URL, and basic diagnostic logs. This helps us run and secure the Service.

Communications. If you contact support, we retain the content of those messages along with your email address.

Payment data. We do not store full credit or debit card numbers on our servers. Payments are processed by our third-party payment providers (for example, Paddle, Stripe, or a local payment processor). Those providers handle payment-card data under their own policies. We receive and store limited billing information such as the last four digits of your card, card brand, billing country, subscription status, transaction ID, and invoice history.

2. How we use information

We use information to:

  • create and authenticate your account;
  • deliver, personalize, and improve the Service, including analytics features like weak-area tracking;
  • process subscriptions, renewals, and refunds;
  • send essential service emails, such as account verification, password reset, billing receipts, and important changes to the Service;
  • send optional product updates and educational content, which you can unsubscribe from at any time;
  • respond to support requests;
  • detect, prevent, and investigate misuse, fraud, or security issues;
  • comply with legal obligations.

3. Cookies and analytics

We use cookies and similar technologies for authentication (to keep you logged in), preferences, and basic analytics. We may use third-party analytics providers (for example, a product analytics service or Vercel/hosting analytics) to understand aggregated usage patterns. You can control cookies through your browser settings; disabling essential cookies may affect your ability to log in or use the Service.

4. How we share information

We do not sell personal information. We share information only with:

  • Service providers that help us run the Service, such as hosting providers, database providers, payment processors, email-sending services, analytics providers, and customer-support tools. These providers process data on our behalf under confidentiality obligations.
  • Legal and safety reasons - if required by law, court order, or to protect the rights, safety, or property of Qalaris, our users, or others.
  • Business transfers - if Qalaris is involved in a merger, acquisition, reorganization, or sale of assets, information may be transferred as part of that transaction; we will notify affected users.

5. International transfers

We and our service providers may process data in countries other than your country of residence. Where applicable law requires, we rely on appropriate safeguards for international transfers.

6. Data retention

We retain account data for as long as your account is active and for a reasonable period after closure to meet legal, accounting, and fraud-prevention requirements. Billing records may be retained longer where required by tax or financial regulations. Support messages are retained for as long as needed to handle recurring issues. You may request earlier deletion as described below.

7. Your rights

Depending on your country, you may have rights including: access to your personal information, correction of inaccurate information, deletion, export of your data, objection to certain processing, or withdrawal of consent. To exercise any of these rights, email support@qalaris.com from the address on your account. We will respond within a reasonable time and in line with applicable law.

You can also:

  • update your profile from your account settings;
  • unsubscribe from marketing emails using the link in each email, while still receiving essential service emails while your account is active;
  • cancel your subscription at any time from your account settings;
  • request account deletion by emailing us.

8. Children

The Service is intended for adults (18+) preparing for professional examinations. It is not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided information to us, please contact us and we will delete it.

9. Security

We use commercially reasonable administrative, technical, and physical safeguards to protect information, including encrypted connections (HTTPS), access controls, and hashed passwords. No system is perfectly secure; we cannot guarantee absolute security, but we work to reduce risk and respond quickly to any incident.

10. Changes to this Policy

We may update this Privacy Policy from time to time. The "Effective date" at the top reflects the latest version. Material changes will be notified by email or in-product.
